Your Role

As Office Administrator in Ecuador, you will be primarily responsible for:

  • Accounting and reporting management as required by Ecuadorian law, including payroll, local taxes, and reports for the Ecuadorian Financial System, for instance: SRI, IESS, UAFE, BCE;
  • Controling, monitoring and analysis of monthly expenses and cash flow. Ensure Financial accountability through systematic checking of funds and budget availability;
  • Providing assistance to management on budgetary matters, preparing annual admin budgets, and monitoring of actual expenses versus budget on a quarterly basis;
  • Performing bank reconciliation is an integral part of this role. Maintaining records, receipts of daily transactions, and handling of company expenses on a monthly basis;
  • Supporting audit requirements and legal compliance with all Government companies;
  • Legal affairs by liaising with legal teams on contractual matters, ensuring proper filing of all contracts, NDAs, and managing premises licenses. This would include managing insurance matters via liaising with insurance brokers on policies, renewals, payments, and vetting policies for accuracy;
  • Coordinating Human Resources administration, in compliance with Ecuador laws and Earthworm Foundation policies. This would include recruitment, assets management, orientation program for new employees, contracts registration with Ecuadorian authorities (MRL, IESS, others), accidents and medical control monitoring;
  • Leading HR strategy for LATAM in coordination with the Global HR team and with the HR managers of the other countries in the region. Facilitate the collaboration of the HR team across EF offices in Latin America;
  • Ensuring databases, HR system and employee files are up-to-date and compliant.

Your Profile

You are passionate about creating positive impact through healthy financial structure, enabling the organization you work for to respond environmental and social issues related to the forest-risk commodities and agricultural supply chains in the most reliable and sustainable manner. Your expertise in accounting and finance principals, general administration, Human Resources and legal matters makes you a valuable asset to the team.

Being very analytical, with a clear attention to details and excellent observation skills, you navigate with ease though complex data reports for budget management for instance and enjoy making sure things are done correctly, avoiding mistakes at all cost. You're one that will prioritize transparency, honesty, and compliance with regulations and organizational policies to maintain trust and credibility. Someone that ensures the integrity of financial information and compliance with reporting standards.

You also thrive in human relations, which enables you to nurture quality collaborations with colleagues from various departments, focusing on the achievement of common goals and complex problems solving. You are able to communicate with colleagues from different countries, cultures and backgrounds.

An experience in Human Resource (recruitment, payroll processing, training and development, compensation & benefit) combined with a genuine sense of care for the well-being of your coworkers, and good listening skills would surely add to your advantage to be successful in this role.

Working Conditions

  • Bachelor degree in Accounting, Administration, Finance or Human Resources (preferable)
  • Minimum 3 years of relevant experience
  • To start as soon as possible
  • Full-time position
  • Fixed-term (1 year contract, renewable)
  • Fluent in Spanish & English (written and spoken)
  • Office Based role in Quito, Ecuador
  • Citizenship or valid work permit in the country
